Property management companies handle thousands of documents across daily operations, including leases, maintenance records, inspection reports, vendor agreements, invoices, compliance files, resident communications, and financial records.

AI Knowledge Platform for Property Management
However, much of this information is scattered across multiple systems, including property management software, shared drives, email, cloud storage platforms, and document repositories.

“We recently tackled this challenge for a property management client by developing an AI-powered Enterprise Knowledge Platform that connects these disparate documents and enables employees to ask questions in everyday language,” said Akash Sinha, Director of Operations for the real estate industry at Chetu, a global leader in AI and digital transformation solutions. “Within seconds, they receive the information with references to the source data.”

Without an efficient way to access this information, property management companies face several operational challenges. Employees spend significant time searching for documents, knowledge can become trapped with experienced employees, new employees can face longer onboarding periods, and compliance teams may struggle to locate required documentation during audits. Organizations can also have difficulty finding historical maintenance information and managing duplicate work across systems.

These challenges slow down decision-making, increase administrative workloads, delay resident responses, increase operational costs, and reduce overall operational efficiency.

The platform combines generative artificial intelligence with Retrieval-Augmented Generation (RAG) technology to help organizations find, understand, and use information stored across existing document repositories. Unlike traditional search tools, the platform analyzes information across documents to provide more complete answers.

“There is no more need for multiple searches on different systems,” Sinha said. “Employees quickly retrieve relevant records, summaries of lengthy documents, and can compare information across files. Our platform can significantly reduce search time with the potential reductions of up to 80-90%, depending on document complexity and workflows.”

The platform also helps organizations preserve institutional knowledge by making important information accessible even when experienced employees leave the organization. It also improves compliance readiness by making required documentation easier to locate during audits and regulatory reviews.

Other real estate-related companies, such as commercial real estate firms, multifamily operators, REITs, HOA management companies, facilities management providers, and government housing organizations, can benefit from Chetu’s platform.

The underlying AI architecture can be adapted for other document-intensive industries, including healthcare, financial services, insurance, manufacturing, logistics, energy, and government organizations that need faster access to large volumes of business information.

“Businesses are looking for ways to apply artificial intelligence to everyday business processes,” he added. At the same time, real estate companies are adopting PropTech solutions to improve operational efficiency, enhance tenant experiences, and better manage increasingly complex portfolios.
